Inserting Movies and Sounds
Choose Insert, Movies and Sounds from the toolbar.
Either choose a movie or sound from the gallery supplied with PowerPoint or hunt for an
existing file on your disks. Movie files commonly end with avi or mov. Sound
files are commonly wav, aif, au or mid.
Playing the movie or sound automatically
To get the sound/movie to play automatically, choose
Slide Show, Custom Animation and set the timing of the sound/movie to Automatically.
Making graphs in PowerPoint
Look at the toolbar and find the Insert Chart button. Enter the
values for the legend and the categories. Enter the data. When you have entered your data,
close the chart window by clicking the "X" for eXit in the right hand corner of
the chart window. Your chart is added to the PowerPoint slide.
Importing graphs from MS Excel
Create your spreadsheet and create the chart in
Excel. With the chart selected in Excel, choose Edit, Copy from the menu bar. With your
PowerPoint presentation open, choose Edit, Paste from the menu bar and the chart will be
pasted into the current slide.
If you want to set up a presentation that will run in the
foyer or at a display stand during open night you will probably want it to run
automatically and then repeat automatically (loop). There are a few things to set so that
this will occur.
Setting the timings for each slide
Typically, you will want the presentation to advance
automatically rather than have the user press a key. You can set the timings for each
object on each slide and for each slide to move to the next slide. To set the timing for
each slide, up choose Rehearse Timings from the Slide Show menu.
| Playing the presentation
as a loop Depending on your needs, you can run a
slide show three different ways. For an unattended display, click Set Up Show
on the Slide Show menu and choose Browsed at a kiosk (full screen).
Click this option to run a self-running presentation. You can set up the show to run with
most menus and commands unavailable and to restart automatically after each showing. As
you have probably set up the timing for each slide, make sure that you choose Using
timings option in the Advance slides area. |

Playing a CD track during the
presentationIt may be suitable to have a CD
playing during the presentation. You will have to determine whether it suitable to have
music playing through a set of speakers or a set of headphones. To set this up there are a
number of steps.
- Go to the first slide in your presentation and place the CD
in the CD player on your computer.
- Choose Play CD Audio track from the Movies
and Sounds option on the Insert menu. Choose the Start and End track
and timing and click OK.
- Once you have been returned to the PowerPoint slide choose Custom
Animation on the Slide Show menu. Set the timing on the Media object
to Automatic and then choose the Play Settings tab. You will
also want to decide at which slide the music will stops. Typically this will be the last
slide in your presentation.

- There will be a small speaker icon on your first slide. It
is probably not desirable from a visual point of view. Choose Hide while not playing
on the Play Settings tab.
